Wedding Shuttle Pickup Instructions Guests Can Follow
A shuttle message needs a pickup point, reporting time, departure time and a contact for missed connections. “Bus leaves from the hotel” is insufficient when a property has multiple entrances or several wedding groups.
Confirm the operational details
Ask the transport coordinator where guests should wait, whether a name list is used and how long boarding takes. Distinguish the reporting time from the departure time. Confirm which event the vehicle serves and whether a return trip is included.
Adapt this message
“Shuttle to [event]: please report at [exact pickup point and landmark] by [reporting time] on [date]. Departure is [time]. Look for [vehicle identifier or host representative]. Return pickup is [confirmed place/time, or how it will be announced]. If you miss the shuttle, contact [coordinator].” Do not publish a driver's private number without agreement.
Keep guests informed
Share the instructions with booked passengers and update the coordinator when attendance changes. Add a map pin only after checking that it points to the boarding location. Ask about vehicle access and luggage arrangements for guests who need them. Avoid promising that a shuttle will wait for late guests unless the operator has explicitly agreed.
