Wedding accommodation notes should distinguish confirmed bookings from general hotel suggestions. Guests need to know whether they must book, who pays and whom to contact, without finding private reservation details on a public page.

Separate public and private details

The public page can list the hotel name, address and a general contact for accommodation questions. Send room assignments, booking references and guest-specific arrangements directly to the relevant household. Avoid displaying a rooming list in a downloadable public file.

Write the practical note

“If accommodation has been arranged for you, we will send your confirmation privately. Please check your arrival and departure dates in that message. Guests arranging their own stay should confirm availability and terms directly with their chosen property.” Replace this with your actual arrangement rather than implying rooms are included for everyone.

Verify before arrival

Confirm check-in arrangements, early-arrival requests and any payment responsibilities with the hotel. Do not guarantee an early room simply because the wedding party arrives in the morning. Share a host contact who can resolve mismatches, and tell that person where the current rooming record is stored. Accurate private messages are more useful than a public promise of “all stays arranged”.
