A Rain-Plan Update for an Outdoor Wedding Event

A rain plan should tell guests where to go and which parts of the original schedule remain valid. Prepare the wording before the day, then publish it only after the hosts and venue confirm the decision.

Agree the trigger and owner

Choose who decides to use the indoor space and who sends the update. Confirm the backup room name, entrance, seating arrangement and any transport change. Avoid having several relatives announce different plans based on separate weather checks.

Prepare the message

“Venue update for [event] on [date]: the celebration will now take place in [indoor room], at [property and entrance]. Arrival time remains [time]. Please follow [landmark or signage]. The invitation page has the current directions: [link].” If the time also changes, lead with both changes explicitly.

Check the guest journey

Review the route from parking or shuttle drop-off to the backup room, including shelter and access needs. Tell vendors and the welcome team before guests begin arriving. Update the map note if the gate changes, and call households unlikely to see the message. A backup plan works when every guest-facing instruction points to the same confirmed arrangement.
