What Should Be in Your Final Wedding Invite Handover Folder?

A useful handover folder tells the family exactly which files to send and which files to retain privately. It should also explain who handles corrections after the invitation has been shared.

Organise the guest-ready files

Include the approved PDF, video or image exports that were agreed for your project, plus the public invitation URL in a text note. Label event-specific versions clearly. Keep obsolete drafts and editable working files out of the folder relatives use for distribution.

Add a short sending note

State which file suits each guest group and include a copy-ready message with verified dates and links. Record any agreed limitations, such as a website expiry date or the supported revision process. Do not put administrator passwords in a guest-facing handover note.

Verify before accepting

Open each file, play videos to the final frame and test maps and RSVP from a fresh browser. Check the exact files delivered, not an earlier proof. Confirm ownership or permitted use of artwork and music according to your agreement. Ask for missing items before marking the handover complete, and keep a private backup of the approved delivery.
