A Simple Approval Sheet for Wedding PDF Proofs
A PDF proof should be approved against a fixed content sheet, not a memory of the last WhatsApp conversation. Use a small checklist to separate factual corrections from design preferences before the final export.
Review the facts first
Check names, family roles, dates, weekdays, event times, venue addresses and contact details. Open every map and RSVP link from the PDF itself. An underline that looks like a link does not guarantee that the exported file contains a working destination.
Consolidate feedback
Record page number, current text, requested replacement and the person approving it. For example: “Page 2, reception arrival: replace 6:30 pm with 7 pm; confirmed by [host].” Send one consolidated list for the agreed review round. Contradictory voice notes make it harder to know which change is final.
Approve the exported file
After corrections, inspect the new PDF on a phone and a larger screen. Confirm that text is not clipped and links still work. Save the approved version with a date and a clear filename. Archive earlier drafts separately so a family member does not accidentally forward the wrong card after approval.
