A File-Naming System for Wedding Invite Revisions
Names like final-new-final2 make it hard to identify the invitation guests should receive. Use one predictable filename pattern and a small approval record for every format in the wedding package.
Choose the pattern
Try “couple-event-format-v03-2026-09-07.pdf”. The example date marks a version, not an event date. Keep names short enough to read on a phone, and use a separate field in your content sheet for the actual ceremony date so nobody confuses the two.
Separate working and approved files
Store editable drafts in a working folder and place only approved exports in the send folder. Add a note recording who approved the text, when it was approved and which URL or map was checked. Make it easy for a relative to find one current PDF and one current video.
Handle corrections cleanly
Increase the version when a shared fact changes and tell the sending team which earlier file it replaces. A website link may stay the same, but downloaded files can continue circulating. Send a clear correction for changed dates or venues rather than assuming a renamed file reaches everyone. Keep the older copy privately if it is needed to trace the change.
