A useful invitation check is more than proofreading one card. Confirm the underlying facts, approve the wording with the family, check every link and compare the final website, PDF, video and sharing message before distribution.

Create one approved details sheet

List the couple’s preferred name spellings, family names and the exact wording each family wants included. Confirm how titles, relationships and ceremony names should appear. For more than one language, arrange a fluent review of the text rather than relying only on visual approval.

Add each event’s date, start time, venue name, full address and relevant guest group. Separate the ceremony start from an arrival time if you need both. Identify which details are still provisional so they are not accidentally treated as final.

Verify directions from the guest’s perspective

Open the map link and check the intended venue, city and entrance against the host’s information. A correct business name can still point guests to an inconvenient gate or a similarly named location.

Check whether the invitation explains parking, transport or entrance arrangements when those are actually organised. Do not imply a shuttle, room or pickup is included merely because the design has space for travel notes.

Make the reply instructions complete

Include how to reply, the deadline and one contact for help. Tell guests whether one person should answer for the household and which functions the response covers. Check that the RSVP destination corresponds to this celebration.

Review any food, access or accommodation question with the person who will use its answers. A requested preference is not a confirmed arrangement; make the distinction clear in the guest wording.

Review the final formats, not only the design preview

Read the final PDF on a phone, view the exported video and open the website link. Check readable text, sequence of events, spelling and the places where guests need to tap. Scan any QR code in the final artwork and verify its destination.

Compare names, event details and reply deadlines across all outputs. A corrected website does not automatically correct an older video or PDF. Ask the family to approve the final files or pages they will actually distribute.

Control the handoff and later corrections

Nominate one person to give consolidated approval and one person to share the approved assets with family helpers. Label the final version clearly and remove obsolete versions from the sharing pack.

Fictional handoff checklist: approved invite file; website link; short sharing text; RSVP deadline; organiser contact; list of guest groups for each function. If a factual detail changes later, tell the affected recipients what changed and resend the appropriate information rather than relying on silent edits.

Frequently asked questions

Who should approve family wording?

Ask the relevant family members to review it, then have one nominated person consolidate the agreed wording into the final approval.

Do we need to check both the website and the PDF?

Yes. Each can contain a separate mistake or an older version of a detail. Compare the actual final outputs before sharing.

What is the most useful final link check?

Open the venue map, RSVP and website links from the final invitation or sharing message. Verify the destination and the action a guest is expected to take.
