Share a verified Google Maps place link beside the venue's full name, written address, event date and arrival time. If your functions are at different venues, give each function its own clearly labelled link.
Before sending anything, check where the pin takes a first-time visitor. A correct hotel name is not enough if the wedding entrance is on another road or the reception is in a different building.
Here is a simple way to prepare the links, put them in your invitation and test the result before guests start travelling.
1. Confirm the place and the guest entrance
Ask the venue contact to confirm the location guests should use. Check:
- Full venue name, including its branch or locality
- Banquet hall, lawn, floor or building within the venue
- Complete address and city
- Guest entrance, gate or drop-off point
- Parking arrangements and any separate parking entrance
- A useful nearby landmark, if the venue recommends one
Keep the arrival instruction short and specific. “Enter through Gate 2 on Lake Road” is more helpful than “near the big hotel”. Confirm the instruction with the venue rather than relying on an old review or a relative's memory.
If the public place listing is correct but its pin points to the wrong entrance, keep the venue name and address in the invitation and add a clearly labelled entrance pin or instruction. Do not quietly replace the venue with an unexplained set of coordinates.
2. Share the place from Google Maps
On Android or iPhone
Open Google Maps and find the venue. Select its place details and use Share to send the location through your chosen messaging app. For an unlisted entrance, press and hold the correct spot to place a pin, open its details and share it.
Google documents the place-sharing steps for Android and iPhone or iPad. Button positions can vary with the app, so use the relevant help page if your screen looks different.
On a computer
Open the relevant map area in Google Maps. In the menu, choose Share or embed map, then Send a link and Copy link. Paste the link into your invitation draft and open it again to confirm the destination. See Google's computer instructions.
For a general wedding invitation, a place link lets guests plan from their own starting point. Use a separate route when you are giving a specific instruction, such as a hotel-to-venue transfer, and label its starting point clearly.
3. Put the link where guests can actually open it
WhatsApp message: paste the real map link directly below its event and venue details. Avoid sending a bare link with no explanation, especially when the conversation contains several functions.
Wedding website: put a map button inside each event's details. Use labels such as “Open wedding venue map” and “Open reception venue map”, with the written address close by. A map preview can help, but guests should also have a clear link to open.
PDF invitation: add a link to an obvious phrase such as “Open venue map”. Test the final PDF after export and after sending it. The reader app and the way the PDF is opened can affect how guests interact with links.
Image or video invitation: send the clickable map link in the accompanying message. A picture of a button, or a URL drawn inside an ordinary image or MP4, does not become an interactive map link.
Printed invitation: a QR code can lead to the verified map or your event page. Keep the written address too, and test the code from the actual print proof. For a phone invitation, also provide a normal link so guests do not have to work out how to scan a code displayed on their own screen.
4. Give different venues separate event blocks
Do not label three different destinations “Wedding location”. Repeat the event, date, time and venue above each link, even when it feels obvious to the family.
This fictional example shows the structure:
- Mehndi, 13 February 2027, 5:00 pm: Gulmohar House, Jaipur. Use the separately shared address and mehndi map link.
- Wedding, 14 February 2027: arrive at 6:30 pm for the 7:00 pm ceremony at The Marigold Courtyard, Jaipur. Use the wedding venue map link.
- Reception, 15 February 2027, 7:00 pm: Silver Courtyard Hall, Jaipur. Use the reception venue map link.
The names and plans above are invented examples. Replace them with confirmed details and do not generate a real map link for a fictional venue.
Share only the events a household is invited to. If a home function has a private address, send those details to its intended guests rather than placing them in a broadly shared announcement. A polite request not to forward can help communicate your wishes, but it cannot prevent screenshots or forwarding.
A copyable WhatsApp venue message
The following is a fictional example. Replace every bracketed field with verified information before sending:
Hello [guest name], we would love you to join us for Aanya and Kabir's wedding on 14 February 2027.
Please arrive at 6:30 pm. The ceremony begins at 7:00 pm.
Venue: The Marigold Courtyard, Jaipur
Full address: [confirmed street address, locality and postcode]
Wedding venue map: [verified Google Maps link]
Entrance and parking: [short instruction confirmed by the venue]
If you need help finding the entrance, please call [approved contact name and number].
We look forward to celebrating with you!
For a second function at another location, add a new event block with its own date, time, address and map. If the message becomes long, send a clearly organised wedding website link and tell guests where to find their event details.
5. Run a guest-view check
Before sharing widely, send the finished invitation and message to someone who has not helped plan the wedding. Ask them to:
- Open the link from the received message or file
- Read back the venue name, locality and event date
- Check which entrance or arrival point they would use
- Find the parking note and contact number without asking you
- Identify the correct venue for each function they are attending
Also test each link from your phone and a second device if available. If you are using a website, check the live page rather than only the designer's preview. A button labelled “Reception” can still point to the ceremony venue if the wrong link was pasted behind it.
Keep the written address and a contact who has agreed to help with directions. Those details give guests another way to ask for assistance if a map link is difficult to open.
What if the venue or entrance changes?
Update the website, PDF and unsent invitation files first. Then send a clear correction to affected guests. For example:
Venue update for Aanya and Kabir's reception on 15 February: please use [new venue and full address]. The arrival time is still 7:00 pm. Updated map: [verified link]. Please use this message instead of the earlier venue details.
That wording is another fictional example; use “time is still” only after confirming it. If an entrance changes but the venue does not, name the changed gate or approach road explicitly.
An updated website can keep one link useful, but guests may still have saved or forwarded an older file. Tell them about the change directly rather than assuming they will reopen the page.
Need all the event maps in one place?
Love Solutions wedding websites can bring event schedules, venue maps and guest information together. Share the confirmed place links, full addresses and entrance notes when you brief the team, and review every event button before sending your invitation.
Frequently asked questions
What should I send with a wedding venue map link?
Include the event name, date, arrival time, venue name and full address. Add a short entrance or parking note where needed and an approved contact for directions.
Should I use a venue pin or my live location?
Use the venue's place link or a verified entrance pin for the invitation. Guests need a fixed destination; your changing personal location is not the wedding venue address.
How do I share maps for several wedding functions?
Give each function its own event block and clearly labelled map link. Show only the functions the recipient is invited to, and check that each button opens the intended venue.
Can guests tap the map inside my invitation video?
An ordinary MP4 does not make a pictured map button clickable. Send the real map or wedding website link in the message alongside the video.
What if the Google Maps pin points to the wrong entrance?
Confirm the correct entrance with the venue, add a clear arrival instruction and share a separately labelled entrance pin if useful. Test the destination before sending it to guests.
Is a QR code enough for a digital invitation?
Provide a clickable link as well. Guests may be viewing the invitation on the same phone they would use to scan the code. Keep the written venue address available too.
