What to Ask on a Wedding RSVP Form

Ask who the reply covers, whether they will attend, which invited functions they will attend and how many named guests are included. Add food, access or travel questions only when you have a plan to use the answers.

Start with the fields needed to count correctly

Request a name that matches the invitation, an attendance choice and attending names or a clearly defined household count. Where follow-up is needed, ask for one contact method.

For several functions, collect attendance separately for each invited event. A declined guest should not have to complete meal choices for an event they will not attend. If your form cannot change questions based on answers, label optional fields clearly.

Phrase practical questions without demanding personal explanations

“Do you have a dietary requirement we should discuss with you?” is more useful than requiring a medical history. Offer a private contact route for sensitive requirements.

Ask about transport or accommodation only if the hosts are coordinating it. Explain what a response means: an expression of interest is not a confirmed room or pickup reservation.

Remove questions with no decision attached

Avoid asking for identification documents, full home addresses or personal stories simply because the form allows extra fields. Keep optional preferences optional.

Review the form from both perspectives: can a guest answer quickly, and can the organiser turn each answer into a clear action? Check actual storage, access and handling before collecting the information.

Frequently asked questions

Should we ask for phone numbers?

Ask for a contact method if you need follow-up. Do not collect more details than necessary, and make clear who will use them.

Can we ask guests to choose songs?

You can make that optional if someone will review the suggestions. Keep it separate from the fields needed for attendance.

What should a guest who declines complete?

Their identity and attendance choice are usually enough. Additional event or meal questions should not be required for a declined event.
