How to Invite Wedding Guests to Share Access Needs
An access-needs note should offer a private way to ask for help without requiring guests to explain personal circumstances publicly. Ask about the arrangement they need and confirm the venue's actual facilities before promising them.
Use welcoming wording
“If there is anything we can arrange to help you attend comfortably, please contact [name] privately by [date]. We are happy to discuss arrival, seating and access arrangements.” The contact should know who at the venue can answer practical questions and should agree to have their number shared.
Record only what helps
A note such as “needs a step-free route from drop-off to ceremony seating” is usually more useful for planning than a diagnosis. Keep the information with the people arranging assistance. Do not copy it into a public guest list, seating display or general wedding chat.
Confirm the full journey
Ask about entrance steps, lift availability, toilets, distance between functions and transport boarding. A venue describing itself as accessible does not answer every guest's needs. Reply with the specific arrangement that has been confirmed and a contact on the day. If something remains uncertain, say so clearly so the guest can decide what works for them.
