Build a Wedding Guest-Help Contact Roster

A contact roster lets guests reach the right helper without calling the couple for every arrival question. Keep it short, get each person's agreement and define what they can actually resolve.

Choose contacts for venue arrival, guest transport and accommodation if those arrangements exist. A smaller wedding may need only one host representative. Record each person's availability and a backup, especially during ceremonies when they may be occupied.

Publish a limited version

Guests need a name, purpose and contact method: “Travel coordination: [name], available [period].” They do not need internal room lists or supplier discussions. Share personal numbers only with permission and decide whether they belong on the public website or in a private message to attending guests.

Prepare the helpers

Give each helper the confirmed schedule and the current list relevant to their role. Explain which requests require approval, such as extra rooms or uninvited guests. Test the contact links before sending the invitation. After the wedding, remove personal numbers from any page that remains public. A roster is useful when the people listed are expecting the calls and have the information to answer them.
