How to Collect Wedding RSVPs Online in India
Choose one place to record responses, share a clear RSVP link and deadline, and assign someone to reconcile online replies with phone and WhatsApp confirmations. A form is useful only if the resulting count can be checked against your invitation list.

Define what one response represents
Decide whether each submission is for one person or an invited household. Ask the respondent to name the people covered by the reply; a surname alone can be ambiguous when several related households share it.
Keep a private invitation list so the organiser can match each response to an invitation. The number invited and the number attending are different fields. A public form should not be treated as permission for additional guests.
Make the invitation tell guests exactly what to do
Place the RSVP link beside the event details. Include a reply deadline and one contact for anyone who cannot use the form. Choose the deadline around the date your caterer or venue needs a count, leaving time to follow up.
Fictional wording example: “Please confirm who will attend by [reply date] using [RSVP link]. If you prefer to reply by phone, contact [organiser].” Replace every bracketed item before sending.
Check the recording process before sharing widely
Review the form on a phone and establish where its responses are stored, who can access them and how changes will be recorded. If you use a website provider, ask them to demonstrate these capabilities rather than assuming a visible Submit button means records are saved.
After launch, compare responses with the invitation list and record calls in the same master record. Follow up on unmatched names, duplicate replies and unanswered invitations before using the total for planning.
Frequently asked questions
Does every guest need to fill in a separate form?
No. A household response can work if it identifies all attending people and the organiser can match it to the invitation. Use individual replies when separate event attendance makes that clearer.
What if a relative confirms by phone?
Record the reply in the master list with the date and who took the call. Check for an existing online response before adding another count.
Should we count an unanswered invitation as attending?
Keep it marked as unanswered. Any planning allowance for uncertain guests should be a separate decision with your suppliers, not a confirmed RSVP.
