Phone confirmations deserve the same care as online replies. Give relatives a small script and a shared recording format so names, counts and event choices reach the main guest list accurately.

Prepare the call sheet

Include household reference, invitation contact, invited events and spaces for attendance, adults, children and follow-up. Share only the households that the caller is helping with. A relative handling ten invitations does not need the whole guest database.

Use this call outline

“Hello, we are confirming arrangements for the wedding. Will your household join the reception on the date shown in the invitation? How many adults and children should we record? Is there anything about access or travel that you would like the host to follow up on?” Read the count back before ending the call.

Reconcile once a day

Have one person merge telephone notes with online replies. Mark the source and date of each confirmation, and resolve mismatches with the guest instead of adding both records. If a question needs a host decision, leave it pending. The caller should not promise extra rooms or additional invitations on the family's behalf.
