How Families Can Track Wedding Replies Clearly

Use one shared master record with a row for each invitation or household, one person responsible for its accuracy, and clear response statuses. Relatives can collect replies, but their notes should feed into that record rather than competing totals.

Separate invitation status from attendance status

A useful record can include invitation identifier, guest or household names, invited events, response status, attendance count per event, response date and the relative who received it. Collect only what you need for planning.

Use clear statuses such as not yet contacted, invited/no response, attending, declined and uncertain. “Message read” is not the same as “attending”.

Agree a handover format for calls and messages

Ask relatives to pass on the household name, event choices, attending names/count and the date of the confirmation. If information is missing, keep a follow-up flag rather than guessing.

Fictional handover example: “Household B: reception only; two named adults attending; confirmed by phone on [date]; recorded by [organiser].” This is an example format, not a real guest record.

Resolve conflicting replies before sharing totals

When a new reply differs from an earlier one, check whether it is a correction, a separate family member or a duplicate. Preserve enough context to resolve it, then mark the current confirmed decision clearly.

Send suppliers the minimum information they need, normally event totals and relevant requirements. Restrict access to the detailed list and agree who is allowed to edit it.

Frequently asked questions

Should both families maintain separate spreadsheets?

They can collect information separately, but reconcile it into one agreed record before producing totals. Shared invitations otherwise risk being counted twice.

What if two relatives record the same reply?

Match the household and names, then consolidate the duplicate instead of adding both counts.

Does a newer message always replace an older reply?

Only when it clearly changes the same invitation’s attendance. Clarify ambiguous messages before changing the final record.
