Destination Wedding Invite and Website: A Travel Information Guide

For a destination wedding, the invitation announces the celebration while the website can explain how guests will get there and take part. Prepare the travel information before designing the page. Guests need confirmed facts and clear booking responsibilities more than a long description of the destination.
Decide what the invitation must establish
Include the couple and hosts, destination, relevant event dates and a clear link to further information. State the invitation scope: a wedding and reception invitation should not silently imply attendance at every private family function.
If guests need to arrange leave or travel before all details are final, communicate the confirmed dates with an explicit explanation of what is still pending. Do not call an unconfirmed venue a final booking.
Create a travel information sheet for the website
Prepare the venue’s full address, checked map destination and arrival instructions. Describe relevant airport or railway options only when you have checked the details. Avoid fixed journey-time promises: traffic, routes and arrival conditions can change.
For each item, write who handles it and who pays. Useful fields are accommodation booking method, stay dates, payment responsibility, transfer availability, luggage or check-in guidance confirmed by the organiser, and the contact for unresolved questions. A resort venue name does not mean every guest has a reserved room.
Make accommodation and transfers unambiguous
If guests book their own stay, say so and provide only checked information. If rooms are arranged, explain how guests confirm their allocation privately and whether they need to take any booking action. Keep room numbers and guest allocations off the public page.
For an arranged transfer, show the departure time, pickup point, destination and response or booking instruction approved by the organiser. If no transport is supplied, say guests should arrange their own travel rather than leaving an ambiguous “transfers available” label.
Help guests interpret the event schedule
Show local dates and times for the destination. For events in India, a clear label such as “All event times are IST” can help guests travelling internationally. Avoid manual foreign-time conversions unless checked for the event date and guest location.
Allow guests to distinguish an arrival recommendation from a ceremony invitation: “Suggested travel day” is different from “Mehendi, guest arrival at [time].” Explain gaps between events with practical, confirmed notes rather than promising activities that have not been arranged.
Plan the final travel update
Before guests leave, review map pins, entrances, transfer instructions and the event-day contact. Send important changes directly, identifying which earlier detail has been replaced. Keep an easy-to-find summary on the website.
The website is an information tool unless separately verified booking features are included. Do not invite guests to upload identity documents, private itineraries or payment data to an unverified form.
Frequently asked questions
What if accommodation is not part of the invitation?
Say guests are responsible for booking their stay. If you offer hotel information, check it and explain whether it is a recommendation or a confirmed host arrangement.
Should the invitation include all travel details?
It should establish the destination and event dates clearly. Use the website for fuller directions and arrangements, while keeping essential details available to guests who prefer another format.
Does sharing travel information mean the website makes bookings?
No. Information pages and reservation systems are different. Only describe booking functionality after its scope and operation are verified.
