Using Wedding RSVPs for Food and Event Planning
RSVP responses can support catering and event planning when they capture attendance for each function and the requirements you will actually act on. They provide a starting count; the final catering order also depends on supplier arrangements and late changes.

Count people separately for each meal or function
A guest attending the ceremony may not attend the reception. Calculate totals for the relevant event instead of giving every supplier the overall number of invited people.
Fictional example: 80 confirmed for lunch and 110 for the reception are two different service counts. Adding them produces 190 event attendances, not 190 unique wedding guests.
Ask actionable food questions
Only request dietary information that the caterer can use. A simple meal preference may be enough for some events; an optional requirement field can flag a need for follow-up.
A form response does not guarantee an allergy-safe meal. Discuss requirements with the guest and caterer, including whether accommodation is possible and who will confirm arrangements. Keep these details private.
Freeze a dated count, then manage changes
Give the supplier a dated summary of confirmed attendance and separately identify any agreed planning allowance for unanswered or uncertain guests. Ask when changes can still be accepted.
Keep a list of changes after that summary is sent and nominate someone to pass them to the relevant supplier. Do not assume the form automatically updates a caterer’s order or room plan.
Frequently asked questions
Is the RSVP total the exact number of meals to order?
It is evidence for planning, not the whole ordering decision. Confirm the final count and any allowance with the caterer under your booking arrangements.
Should children be counted separately?
If the supplier needs separate meal or seating information, define the relevant categories with them and collect those counts clearly.
Can we promise allergy-safe meals through a form?
No. Use responses to identify a requirement, then confirm the actual arrangements directly with the caterer and guest.
