Wedding RSVP Changes After the Catering Count Is Sent

When attendance changes after your catering handover, update the family record first and then confirm the supplier's ability to accommodate it. An edited spreadsheet does not automatically change a venue order.

Record the exact change

Note the household, event, previous count, new count and time of the request. Distinguish an additional guest from a replacement guest because the seating impact can differ even when the total stays the same. Keep any dietary request attached to the right person.

Get acknowledgement

Send the caterer a short change note: “Reception update: household F021 changes from two adults to three adults. Please confirm whether one additional place can be accommodated.” Ask for the revised quantity and any agreed cost in writing. Do not tell the guest it is settled before receiving confirmation.

Refresh dependent lists

Check seating, transport and welcome arrangements after the count is accepted. If the supplier cannot accommodate the change, have the host speak with the household privately. Keep one dated final file and a change log, rather than several files all named “final”. This makes the next correction much easier to trace.
