A clear finish time helps parents arrange travel and prevents uncertainty at the venue. Put pickup instructions close to the party date and arrival time, rather than leaving them in a separate chat message.

Agree where parents will collect children, who will coordinate pickup and whether adults are staying throughout the party. Match the invitation to the venue's booking window. A party that ends at 5 pm should not imply that supervision continues indefinitely afterwards.

Use a practical note

“Party time: [start]–[finish]. Pickup is from [specific entrance or room] at [time]. Please contact [host] if another agreed adult will collect your child or if you are delayed.” Adapt this only to supervision arrangements the hosts have actually made.

Keep information private

Collect parent contacts and any agreed pickup details directly, not through a public guest list. Make sure the welcome helper knows the plan and whom to call with questions. If the venue changes the exit used for pickup, send parents a correction before the event. An invitation cannot cover every situation, but a clear time, location and responsible contact remove the most common uncertainty.
