A birthday RSVP can offer parents a private way to discuss food requirements without promising that every request can be accommodated. Ask for practical information and confirm arrangements with the host and food provider.

Keep the form optional

Use wording such as “Please contact [host] privately about any food requirements we should discuss before the party.” If you include a text field, explain who will read it. Avoid asking parents to post detailed information in a group visible to all guests.

Confirm rather than assume

A recorded request is not a confirmed arrangement. Have the responsible adult check ingredients and preparation questions with the food provider, then reply to the parent about what has actually been agreed. Do not label a menu suitable for a particular need based only on the dish name.

Share only what is necessary

Give relevant information to the people handling food and keep it out of public attendance displays. Recheck that the correct child or household is linked to the request before the event. If the host cannot provide a requested arrangement, communicate that early so the parent can decide what works. The RSVP opens a conversation; it does not replace it.
