The essential first birthday invitation checklist

A first birthday invitation should help a guest answer three questions quickly: who is celebrating, where should we go, and what do we need to do before the party? Put the practical details ahead of decorative wording. A cute theme can set the mood, but it should never make the date or location hard to read.

Use one confirmed set of details across the website, video and WhatsApp message. If grandparents or another relative are hosting with you, agree how their names should appear before the invitation is designed.

Make the time and location easy to use

Say whether the displayed time is the arrival time or a specific activity. For example, “Join us from 5:00 pm; cake cutting at 6:00 pm” is easier to act on than listing 6:00 pm alone. Include an end time if the venue booking or family routine makes it useful. These are example times, not a recommended schedule for every child.

Open the map link on a phone before sharing it. Check the building entrance, floor or hall name, and add a landmark if the venue is difficult to find. A restaurant name without its branch or area can send guests to the wrong place. Keep the full address visible even when a map button is available.

Add helpful notes without crowding the invite

Include details that would change a guest’s plans: lift or step access, parking, a shoes-off play area, or whether children should bring socks. If you are inviting children along with adults, make that clear so families know whom the invitation includes.

For catering, ask for the number of adults and children attending rather than only a yes or no. Offer a way to share dietary needs privately. Avoid publishing children’s medical details, home routines or guest responses on the invitation. If you include a photo, choose one you are comfortable having forwarded beyond the first WhatsApp group.

First birthday wording you can adapt

“Our little [Child’s name] is turning one! Please join [Host names] for a birthday celebration on [Day, date] at [Venue and full address]. Join us from [Arrival time]; cake cutting at [Time]. Please reply to [Contact] by [RSVP date] with the number of adults and children attending. Map: [Link].”

Replace every bracketed field and read the message aloud before sending it. You can write the same details in English and a language your family uses. Keep names, dates and times consistent in both versions, and check that the font displays each script correctly on mobile.

Proof the invitation before it reaches the family group

Ask someone who has not worked on the design to find the date, time, venue and reply instructions without help. Test the invitation on an ordinary phone, not only a large design preview. Readability matters more than fitting every detail onto one decorative screen.

If something changes after sending, update the website and send a short correction directly to invitees. A forwarded video or image will still contain the old details. Mention exactly what changed and share the current link so guests do not have to compare two invitations.

Birthday invitation questions

Should a first birthday invite include the parents’ names?

Include the parents’ or hosts’ names so guests recognise who is inviting them and know whom to contact. Include other family hosts when that matches your family’s preference.

Do we need both an address and a map link?

Yes, when possible. The address remains useful if a link fails, while a checked map pin helps guests navigate. Include the venue branch, hall or floor when relevant.

What should guests send in their RSVP?

Ask for the invited household’s name, whether they can attend, and the number of adults and children coming. Give one reply contact and a clear deadline.
