Who Should Have Access to the Wedding Guest Sheet?
Access to a wedding guest sheet should follow each helper's task. A relative making reminder calls needs different information from a person counting chairs or distributing welcome gifts.
List the roles
Write down who owns the master, who may edit replies and who only needs a view or export. Keep guest phone numbers, room arrangements and private requests out of broadly shared planning documents. Use the sharing controls your chosen tool actually supports.
Give a practical subset
A call helper can receive assigned households and response fields. The venue can receive event totals. A welcome team may need names and seating references without private family notes. Tell helpers where to report corrections rather than having everyone maintain a separate master copy.
Review access after the event
Remove temporary access that is no longer needed and agree what happens to downloaded copies. Before inviting a new editor, check that the link is restricted to the intended recipient rather than anyone who obtains it. A clear owner and a small number of editors reduce accidental changes while still letting relatives help with the parts they have agreed to manage.
