How to Remind Wedding Guests to RSVP

You cannot guarantee every guest will remember, but you can make replying easy: give one clear deadline, repeat the reply link in a brief reminder and follow up individually with guests whose status is still unknown.

Make the first request easy to spot

Put the reply request beside the invitation details, not only at the end of a long message. Explain whether a guest is answering for themselves or their household.

Choose a deadline that gives you time to reconcile responses before the supplier count is due. The exact date depends on your wedding arrangements, not a universal number of days.

Send a reminder with only the useful information

Fictional message example: “Hello [name], we’re confirming numbers for [event]. Could you let us know who from your invited household will attend by [date]? The reply link is [link]. Thank you.”

Check the master list before sending. A guest who has already confirmed by phone should not receive an unanswered-RSVP message simply because the online form is empty.

Handle silence and uncertainty separately

After the deadline, a personal call may resolve whether the invitation was received, whether the link worked or whether travel plans are still uncertain. Keep “no response”, “unsure” and “declined” distinct.

Set an organiser follow-up date for uncertain replies and agree any provisional catering allowance with the supplier. Avoid repeated group reminders that expose attendance information or pressure guests to explain private reasons.

Frequently asked questions

How many reminders should we send?

Use a limited plan suited to your deadline: a clear initial request, a gentle reminder and personal follow-up if necessary. There is no useful universal number for every family.

Should we remind everyone in a group?

A general deadline notice can help, but individual follow-up is better for unanswered invitations. Check for phone confirmations before messaging.

What if a guest still cannot decide?

Mark the response as uncertain and agree when to check again. Do not turn an uncertain reply into a confirmed headcount.
