Managing RSVPs for Multiple Wedding Functions

Collect a separate attendance decision for every function a guest is invited to. A single “yes to the wedding” cannot tell you who will attend the mehendi, ceremony or reception, especially when households have different plans.

Begin with an invitation-to-event list

Decide which functions each person or household is invited to before collecting replies. Show or send only the relevant invitation details; a public all-events list should not accidentally imply an invitation to a private function.

If your form cannot restrict event choices, use clear instructions and check responses against the invitation list. Do not assume a selected checkbox overrides the hosts’ invitation scope.

Build a simple event attendance matrix

Use one row per guest or household and one column per function, with attending, declined or uncertain marked clearly. Household rows need counts per event when attendance differs.

Fictional example: Household C has three attending the ceremony and two attending the reception. Record 3 and 2 in their respective event columns; do not use the larger number for both.

Give each supplier the relevant event total

Calculate each event from confirmed rows, resolve duplicate household replies and keep uncertain responses separate. A combined total across functions is a count of attendances, not necessarily unique people.

Record late changes against the correct event and notify the person handling that function. If catering, transport and accommodation have different deadlines, track each separately rather than treating one RSVP date as the final cutoff for everything.

Frequently asked questions

Can one form cover several functions?

Yes, if its questions and recording system capture event-level choices clearly. Verify those capabilities in the actual setup.

What if only some family members attend a function?

Record the names or count attending that function. Do not reuse the household’s overall wedding count.

Should we add all function counts for the guest total?

Only if you mean total attendances across events. That sum can count the same person several times and should not be presented as unique guests.
