Can an RSVP Form Count an Invited Family?

A form can collect a family response if it is designed for households, but that capability must be checked in the actual setup. Ask for the names of attending invited guests and a clearly labelled count that includes the respondent.

Make the counting instruction unambiguous

“How many people are coming?” can mean additional guests or the whole household. Use “Total attending from your invited household, including you” and ask for the names covered by that total.

If children need separate planning, capture adults and children separately and define any age grouping with your caterer. Do not assume every child requires the same meal or seat arrangement.

Check names against numbers

Fictional example: invited Household A contains four people. The reply lists two adults and one child, so the total attending is three. It is not three plus the respondent.

Reconcile the named list and numeric total before counting. When they disagree, contact the respondent. Avoid silently choosing the larger number or counting every listed name as an extra person.

Prevent a second family reply becoming a second family count

Ask one nominated person to reply for the household where practical. If another person responds, compare names, event choices and response dates with the existing record.

Use the confirmed current household response after resolving the difference. If some family members attend different functions, record those differences by event rather than forcing a single total across the wedding.

Frequently asked questions

Should one person reply for the whole family?

That can simplify counting when the invited household agrees on attendance. Name each attending person so the organiser knows who the reply covers.

Does the total include the person filling in the form?

It should if the field says so. Make that instruction explicit to avoid adding the respondent twice.

What if family members attend different functions?

Use event-specific counts or individual attendance records. A single household total cannot describe different attendance at each function.
